Eligibility
- All DSG chartered and recognized groups are eligible for funding.
- Your event normally must be held on-campus. Exceptions are made when it is not possible to hold your event on campus-for example, SOFC may choose to fund an off-campus bowling trip, but would probably not fund an off-campus basketball game. Contact SOFC if you are unclear about this.
- Undergraduates must be a primary customer of your event. This is at the discretion of SOFC.
- The event must be open to all undergraduate students.
- Events that promote a specific politician or political party are ineligible for funding.
- Conference travel is referred to the Dean of Student’s Student Leadership Development Training and Conference Fund. If this fund is exhausted, SOFC will review conference funding requests on an individual basis.
- See the current SOFC policy document (available on SOFC’s website) for more specific eligibility requirements.
- It must be possible for undergraduate students to enjoy your event for free. For example, a charity ball may charge for dinner, and have a free dance. SOFC will only fund the free component of the event.
Instructions
- Complete the programming fund application. It is locked to maintain its formatting; please do not attempt to change the size of cells. The amount of space provided for each piece of information indicates how much of a reponse is necessary. This document is all that needs to be submitted for a successful application, however, you may attach supporting documentation to this email if you feel that we need to know more about your event, or bring it to the hearing.
- Save this form with a filename that matches your event's name (ie Programming Request - [name of event]')
- Email it to sofc@duke.edu (Alex Crable, SOFC Chair) and am96@duke.edu (Arjun Maden-Mohan, SOFC Vice-Chair).
- Check your email for the date and time of your SOFC hearing. SOFC meetings are Tuesday evenings. Applications are due at 5:00 PM Saturday for the week's meeting.
- Attend your SOFC hearing, and answer any questions about your event.
- If SOFC's recommendation is less than $1000, you will receive your money immediately. If not, you will receive an email informing you of the time and location of the next DSG Senate Session
- Attend the Senate to answer any final questions.
- Funds are usually transferred the day following the DSG meeting.
Writing a successful budget request
- Budget requests must be submitted using SOFC’s form (available online) and by email to sofc@duke.edu and am96@duke.edu. Due to issues with delivery and consistency, we cannot accept paper forms, and we cannot accept requests that are not in SOFC’s format. We are happy to accept and review any supplemental material you would like to bring to your SOFC hearing.
- Submit your budget request early. To ensure review before your event takes place, please make every effort to submit your budget 4 weeks prior to the event. Events with a desired allocation of less than $1000 can usually be done with two week's notice.
- Use detail in your budget line-items. If you have a price listed, explain where the quote came from. If you are purchasing/renting many of the same item, break down the unit cost of the purchase. View the sample budget to see an example.
- If your event is large, place dividers in the budget. See the example budget for a guide to this. It helps SOFC budget events consistently.
- Be complete, but be honest. SOFC does not fund some expenses, like event decorations. However, it is always in your best interest to list every expense related to your event, because SOFC uses this when deciding how much funding to offer. That being said, keep in mind that budget requests are subject to review by the Auditing Subcommittee, and dishonest budgeting can result in seizure of funds or revocation of your group’s charter.
